Introduction to ‘DSMS’

 

DSMS (Departmental Store Management System) is basically a web based application which helps its users to manage the departmental store business easily. With the help of this application, user can easily manages its customers, product details and stock, information regarding suppliers, accounts receivables, accounts payables, information of its employees and their salaries and also expenses of the departmental store.
This application provides ease to its users in managing their departmental store business. It also helps to the user or departmental store owner in analyzing their business. This web based application can pottery the accurate picture of the business that how much profit earned or how much loss is there if any by means of showing general ledger and as well as balance sheet to its users when it required.
One of the best property of this web-based departmental store management system is that it is user friendly and can be access by anywhere in the world either office or home, only an internet suitable connectivity is required.

DSMS consists of thirteen forms. All of the forms of this application are user friendly and their names are as follows:

Home


HOME page is basically the login page of this application for the user. It is mandatory for the user to input authentic username and password of this application so that the user can entirely access this application, otherwise the user will not allowed to do so.
Username’ and ‘password’ are to be input in the text boxes given on this form as shown in the screen shot above, after entering authentic username and password, user just click the button named ‘sign in’, and then the user will easily access this application entirely.


SALE


SALE page is one of the main pages of this web based application. On this page, the user will generate the sales invoice.
Text box named ‘sale order no’ display the sale order number which is generated automatically, text box named ‘sale order date’ will automatically show the system date and time, combo box named ‘product category’ displays the name of the categories of the products that are used to view the desired category product on the left side data grid view and the text box named ‘customer’ is used to enter the customer name.
There are two data grid views placed on the sale form, the grid view on the left provides the list of all available products in the departmental store and the grid view on the right side will show the products which are buying by the customer.
Text box named ‘paid’ is used to enter the paid amount by the customer, text box named ‘total’ shows the sum of the amount of the products that a customer purchased, text box named ‘due’ will show the remaining amount to be paid by the customer store to the departmental store if there is any.
Here button named ‘add’ will use to save all this sales information in the database & button named ‘calculate’ will use to calculate the difference between the paid amount and total amount of the sales just to determine the change (remaining amount) to be given to the customer after entering the discount amount on the text box named ‘discount’ if there is any.



Purchase


PURCHASE page is also one of the main pages of this web based application. On this page, the user will generate the purchase invoice and saves the records of purchase in the database.
Text box named ‘purchase order no’ display the sale order number which is generated automatically, text box named ‘purchase order date’ will automatically show the system date and time, combo box named ‘product category’ displays the name of the categories of the products that are used to view the desired category product on the left side data grid view and the combo box named ‘supplier’ is used to select the supplier name.

Product


PRODUCT page is basically used to stores or manages all the information regarding the products that should be available in the departmental store. This form provides the detail information for all products. User can easily search their desired products easily by means of entering product name as hint on the text box named ‘search by product name’.
From this form, user has the right to add or delete categories for the products in the database by entering their desired name in the text box named ‘add/delete category’ and press button named ‘add’ or ‘delete’.
User can easily enter the information regarding any product or update the existing one as well & there is an option of delete too.
In order to add new product, user have to enter a unique product id in the text box named ‘product id’, product name in the textbox named ‘product name’, price of the product in the text box named ‘price’, unit of measurement in the text box named ‘unit of measurement’, discount in the text box named ‘discount’, select a category for the product from the combo box named ‘product category’ and the press button named ‘add’ to save the entered information regarding any product in the database.
User can easily update or delete the existing information regarding any product just by clicking on the button named ‘update’ or ‘delete’.

Customers


CUSTOMER page is just used to record the information regarding the customers of the departmental store. This information includes the name, present address, zip code, city, province, phone, cell & e-mail of the existing customers.
Here on this page button named ‘add’ is used to save the information in the database after filling the required text boxes, button named ‘update’ is just used to edit the information of the existing customers of the departmental store and a button named ‘delete’ is used to remove the information from the database regarding any customer(s) as per user’s need.

Supplier


SUPPLIER page is just used to record the information regarding the suppliers of the departmental store. This information includes the name (person or company), present office address, zip code, city, province, phone, cell & official e-mail address of the suppliers who provide products(goods) to the departmental store.
Here on this page button named ‘add’ is used to save the information of the suppliers in the database after filling the required text boxes, button named ‘update’ is just used to edit the information of the existing suppliers or vendors of the departmental store and a button named ‘delete’ is used to remove the information from the database regarding any supplier(s).

Payment


PAYMENT page is used to view the entire payments regarding sales to the customers and as well as purchases from the supplier or vendors of the departmental store.
There are two combo boxes and a data grid view is placed on the page as shown above in the screen shot. Combo box on the left side is used to select the type of payments that the user wants to view i.e. customers or suppliers.
After selecting customer or supplier, the user can select one of the listed options from the combo box which is on the right side. After selecting desired items from both of the combo boxes, the user can view the payments summaries on the data grid view.

Reports


REPORT page is used to generate general ledger, balance sheet, invoices of sales and as well as invoices of purchase.
There are two combo boxes in front of every option just to enter the dates that are desired to view the general ledger, balance sheet, sale invoice or purchase invoice between that desired span of time.
After entering the desired dates by selecting them from the calendar that pops up when the user will click on the text boxes, just the user will press the desired button i.e. ‘generate ledger’, ‘generate balance sheet’, ‘generate purchase invoice’ or ‘generate sale invoice’ and view them.

Stock


STOCK page is just used to view the stock (quantity of the products that are remaining in the departmental store) just to check whether the quantities of the products are enough or to be ordered to the vendors or suppliers, so that new orders will be placed to the vendors for the supply of the products for the departmental store.
There is a data grid view which shows the product id, product name and the quantity of the product which is remaining in the departmental store as shown in the above screen shot.

Expense


EXPENSE page is used to enter or manages the all expenses of the departmental store just to just to maintain the record of the expense of the departmental store.
There are three main buttons on the expense page as show in the above screen shot i.e. add, delete, update. ‘add’ button is used to save the entered expense record in the database, ‘delete’ button is used to delete the record of expense from the database and ‘update’ button is used to edit the entered record of the expenses. From this page user can also add or delete the expense types.

Utility Bill


UTILITY BILL page is designed to manage the utility bills of the departmental store. Here on this page user can easily enter the information about the utility bills of the departmental store.
This information includes bill type id, bill type, bill amount, billing month, paid amount of the bill, paid date and bill date.
Category or type of the bills can be entered from this page as shown in the screen shot above. User can save the records to the database, update the existing records and as well as delete them.

Salary


SALARY page is used to enter the salaries of the employees of the departmental store against their employee id month & as well as year wise.
As shown in the screen shot above that user can enter the salaries of the employees and manages them easily. There are three buttons on the page, ‘add’ button is used to save the employee’s salaries record to the database, ‘update’ button is used to edit the existing record of salaries and ‘delete’ button is just used to remove the record of the salaries from the database.

Employee


EMPLOYEE page is used to manage the information regarding the employees of the departmental store. User can add or save new, edit, delete and update the information of the employees in the database.
The basic purpose of this page is to maintain the record of the personal information of the employees of departmental store.
