The Financial Accounting (SAP FI) module in SAP is designed to capture organizations business transactions in a manner that will satisfy external reporting requirements. Local legal considerations are pre-delivered with the system and the ability to manage and report on multiple companies in multiple countries with multiple currencies is part of standard functionality. Integration with Sales and Distribution, Purchasing and Materials Management allows for the ability to select any financial transaction and "Drill Down" to the originating transaction whether it is a purchase Order, Sales Order or material movement.
Financial Accounting includes the following sub-modules:
a) General Ledger (FI-GL): sub module where financial accounting data for a legal entity is recorded.
b) Accounts Payable (FI-AP): sub module where vendor transactions are recorded and administered within FI
c) Accounts Receivable (FI-AR): sub module where customer transactions are recorded and administered within FI.

c) DRP - Distribution Resource Planning allows companies the ability to plan the demand for distribution centers.
d) Production Planning - includes material forecasting, demand management, long term planning and master production scheduling (MPS).
e) MRP - Material Requirements Planning relies on demand and supply elements with the calculation parameters to calculate the net requirements from the planning run.
f) Shop Floor Control - includes the processing of production orders, goods movements, confirmations and reporting tools for production.
g) Capacity Planning - evaluates the capacity utilized based on the work centers available capacity to show capacity constraints.
h) Repetitive Manufacturing - in repetitive manufacturing, the manufacturing process is usually simple in that the same products are produced over a long period of time. This module provides the transactions and business process for companies to run repetitive manufacturing in SAP.
i) KANBAN - is a process of replenishment based on a pull system using KANBAN cards to generate the replenishment cycle.

· SAP Quality Management (SAP QM)
SAP Quality Management (QM) assures that products meet stringent regulatory standards, are safe and uniform, and meet company product specifications. SAP QM processes are thoroughly integrated into the manufacturing process. The Quality Management module covers all classic quality management tasks, such as quality planning (setup of data for QM tasks), quality inspection, and quality control. SAP has several QM terms that are important to note.
a) Quality Planning: the creation and management of master data that is required to plan and complete inspections.
b) Quality Inspection: the identification of whether an inspection unit meets specified criteria.
c) Quality Certificates: documents that contain text, value, and inspection results, which are used to certify the material.
d) Quality Notifications: the recording and processing of internal or external problems that result from poor quality.

Plant Maintenance operates the overall maintenance business processes and functions. The Plant Maintenance module allows a maintenance organization to:

Both Corrective and Preventative maintenance processes exist in the Plant Maintenance module. PAK-QATAR General Takaful Ltd is one of the pioneer’s General Takaful operators in Pakistan. We look forward to bringing high quality products in line with Sheriah principles which meet the needs of the public with the highest levels of service to Pakistan. If I define the business process in one line it would be “New Business, Underwriting, Policy Issuance and then Policy Servicing”.

3. Explain the ERP Implementation Phases? How long it take? What was your role?
a) ERP implementation is not solely a technical job. A lot of planning and communication is required for successful ERP implementation which should be done in various stages before starting the process because failure can result in enormous wastage of effort and money whereas a successful ERP implementation can improve an organization’s performance manifolds.
After performing initial project planning which include project procedures, reviewing technical requirements, finalizing project team members & their training. I along with my members then conduct a detailed study of business processes and business requirements. This is the phase where Project Team Members interact with respective Core Team Members or Process Owners. The entire requirements gathered during this phase are documented as Business Blueprint. Later Unit Testing, Final Integration Test along with the documentation takes place. End User Training is also conducted in order to make our employees comfortable with the environment. Lastly we go live. During this phase, all the problems/issues related to hardware, network, operating system, database, training, and application system are addressed by met team members and they help the end users in achieving their day to day task/assignments.

Before implementing ERP, a great deal of pre-purchase effort is done to decide what kind of ERP software system will be the best fit for our organization. Once decided comprehensive ERP implementation plan and timeline is prepared that includes planning for resources as well as physical and IT infrastructure.

Limited functionality and reporting capability.

A lot of hardwork is required to select an appropriate ERP for an organization. Analysis of need is conducted and business process is defined along with key areas and strengths of current business and future needs which will be fulfilled by the software. Selection is carried through evaluation of different available products based on solution compatibility with the business, total cost of ownership and Return on Investment.
8. What was and what is your employee ratio before and after implementation of this process?
No change, since we are a 4 year old company only, we didn’t have much staff even before the implementation of the system. However future requirement of staff would be reduced.

The reason why we have implemented SAP HR module is employees or Human Resources are considered the most powerful resource. So to maintain the employee related data we require one system which ensures accuracy and consistent within the organization. This module covers some basic process such as.

Because other modules are not relevant to us.

As far as our company is considered, we might go for others modules if needed. But it will take some time until our employees adopt the new environment. Considering CRM in future will be a good choice.

We are a highly information driven company and rely on our systems for our decision making.
We try to increase the efficiency by combining optimized business process, quality management through usage of IT solutions.
25. Why time factor is critical yet important, to the implementation of ERP with respect to business processes and training of employees?
Creating concise timelines and clearly communicating the importance of them to your team, sets the stage for a smooth implementation and helps ensure the work gets done on time and within your original budget because increased time results increased costs.

After implementing SAP financial and MIS reporting have been much streamline specially those which are critical for decision making.

Changes in product design, distribution channel and their profitability. ERP would provide us the date / info required for the decision making.

· What I Have Learned:
By conducting and interview I got to learn that PAK-QATAR General Takaful Ltd is one of the pioneer’s General Takaful operators in Pakistan. They look forward to bringing high quality products in line with Sheriah principles which meet the needs of the public with the highest levels of service to Pakistan.
The main reason of their shift towards implementing an ERP is to achieve operational efficiency, better customer service, better financial planning and to be able to decide better through greater insight with real-time information.
PAK-QATAR is just a 4yr old company and it has not been so much time that there ERP has gone live. As they are services providing company and due to nature of their company they are using only two modules of SAP i.e. Finance and Controlling and Human Capital Management.
The reason why they have implemented SAP HR module is employees or Human Resources are considered the most powerful resource. So to maintain the employee related data they require one system which ensures accuracy and consistent within the organization. This module covers some basic process such as.
a) Personnel Administration (PA) sub module helps employers to track employee master data, work schedules, salary and benefits information.
b) Personnel Development (PD) functionality provided by this sub module focuses on skills of each employee, qualifications and career plans.
c) Time Evaluation/management: process attendance and absences, gross salary etc.
d) Payroll: payments to employees and third party vendors.
The reason why they have implemented SAP FI module is to meet all the accounting and financial needs they require a module. SAP FI module provides the required financial information which allows them for better decision making and strategic planning. This module covers some of these aspects.
a) Accounts receivables and Accounts payables
b) Asset accounting
c) General ledger
d) Consolidation that combines financial statements of multiple entities within an organization. These statements provide an overview of the financial position of the whole company.
Through these modules several reports can be generated such as,
a) Employee Analysis Report.
b) Payroll Analysis Report.
c) Report on Employees Situation and Utilization. (Mainly used in Service Oriented Industry)
d) Report on Insurance
e) Debt Analysis Report.
f) Financial analysis of customer
g) Profit analysis
As their main focus is to achieve better financial planning and operational efficiency, so they should try to run most modules of finance in particular of their interest because finance plays a major role in their business process. But they have not implemented some modules which includes training and event management, travel management, funds management which will help them in future if implemented well.
If we talk about environment for SAP, then we can say that it is installed on HP, dell system supports MS windows operating system at Pak Qatar which goes well with my internet survey.
· Suggestion:
I would suggest they should try to focus on implementing other sub modules of HR and FI in future to manage the workforce and financial aspect more efficiently. They should try to improve their relation with their customers so that they will earn more profit as they are earning now. I know it will take some for employees to adopt new environment i.e. SAP but this change is for their betterment and for improved and well defined business process.
Training helps in increasing the job knowledge and skills of employees at each level. The horizons of human intellect and an overall personality of the employees can be enhanced if he has given proper training. The productivity of the employees can be increased which helps the organization to achieve its long-term goal. So we can see how important training is for an organization.
Pak Qatar can think of implementing following sub modules in future,
· SAP training and event management (HR-TEM) module
· SAP travel management (HR-TM) module.
· Funds Management (FI-FM) manages business trip and expense data.
SAP training and event management (HR-TEM) and Funds Management (FI-FM) module
SAP training and event management features will help in number of functions that aids in organizational training and management by investing minimum efforts. It can be used to update employee skills and information and extend as per requirement. The module can be incorporated with developmental programs according to needs of the employee and also to educate under qualified staff where as FI-FM will be use to keep track of expenses related to training, trips and trips.
SAP travel management (HR-TM) module
The Travel & Expense Automation procedure in SAP allows travel requests and trip expense statements to be created in SAP. These SAP documents are linked directly to the financial & human resource modules.
This module can be used only for the employees and not for any external persons, in other means HR master data need to be available for the employees those who are going to use travel expense module.
Go for E-service:
The online service solution can adapt to your personal needs by enabling, restricting, enhancing or disabling features for any common user scenarios. Offer specific functionalities depending on the user group such as companies, customers. Companies often stay in conflict with the challenge to provide the best possible service to the customer and as well as keeping the cost under control, that's where SAP's solution steps in.
As told earlier that PAK QATAR is providing services to different customers both B2B and B2C so in order to manage their relationships with customers and stakeholders they need to have a good CRM that will increase profitability by solidifying customer loyalty. CRM brings together information from all sources within and outside an organization to give one, holistic view of each customer in real time.
Through implementing CRM;
a) The company can look into its systems to see which customers bring in the most revenue.
b) What is the demographic of the current customers?
c) Be able to target these customers.
And currently customers are also not provided with access to their respective ledger information from internet so e-payment will ease the customers to pay the bills from their homes.
